# How to share content with QR codes

## Print a QR code for a checklist, manual or FAQ so colleagues can open it with a single scan.

### Overview

A QR code links a physical place to content in Ziik. Print it, put it up where the work happens, and colleagues scan it with their phone to open the right checklist, manual or FAQ straight away, without searching or navigating menus.

Each code is created as a ready-to-print poster with your company logo in the centre and the content's title underneath. You can print it directly or download it as a PNG image.

### Where you can create QR codes

You can create QR codes for checklists, manuals, manual chapters and FAQs. The option is in each item's menu, and only shows if you're allowed to manage or edit that item.

| Content | Where to find the option | Who can create it |
| --- | --- | --- |
| Checklist (all) | The checklist's menu, when managing the checklist | Checklist managers, once the checklist is published and has participants |
| Checklist (your own unit's or group's copy) | The menu on the checklist page | Participants of a checklist shared with units or groups |
| Manual | The manual's menu | Users who can manage the manual |
| Manual chapter | The chapter's menu in the chapter list | Users who can manage the manual |
| FAQ item | The ⋯ menu on the FAQ item | Users who can edit the FAQ item |

### How to create, download and print a QR code

1. Open the checklist, manual, chapter or FAQ item you want to share.
2. Open its menu and choose **Generate QR-code** (for manuals and chapters: **Generate QR-code for manual** or **Generate QR-code for chapter**).
3. Check the preview. It shows the poster with your logo, the title and the link the code points to.
4. Choose what to do with it:
     - **Print** opens your browser's print dialog with the poster ready to print.
     - **Download** saves the poster as a PNG image, named after the content's title.

The logo in the centre is your site's mobile header logo. If no logo has been uploaded, the code is created without one.

### QR codes for checklists

Every unit, group or person on a checklist gets its own QR code, so a scan always opens that participant's copy of the checklist.

- **As a checklist manager:** choosing **Generate QR-code** lists every participant with a small preview of their code. Select a participant to open their poster, then print or download it. The poster shows the checklist title with the participant's name underneath.
- **As a participant:** on a checklist shared with units or groups, you can create the code for your own unit or group from the menu on the checklist page. This isn't available on checklists assigned to individuals, because the code would only open for that one person.
- **Recurring checklists:** the code always opens the round that's currently running.

The option only appears once a checklist is published and has at least one participant.

### Who can open the content

Your permissions still apply: a QR code only opens content for people who already have access to it.

The code is a link to the content in Ziik, nothing more. People who scan it sign in as usual if they aren't already signed in, and Ziik checks their access as it would for any other link. That makes it safe to put codes up in shared spaces such as a reception, a warehouse or a staff room.

### Tips for placing QR codes

- **Put the code where the task happens:** a cleaning checklist by the cleaning station, a machine manual on the machine, an opening routine by the entrance.
- **Link to the exact chapter:** a code for a single chapter saves people scrolling through a long manual.
- **Print one per location:** for checklists shared with units or groups, print each participant's own code and put it up at their site.
- **Mount it at eye level:** keep it somewhere well lit, and laminate it in kitchens, workshops or outdoors.
- **Test before you put it up:** scan the printed code with your own phone to check it opens the right content.

### Frequently asked questions

**Why can't I see the Generate QR-code option?** The option only shows if you can manage or edit the item. For checklists, the checklist also has to be published and have at least one participant. Participants can't create codes for checklists assigned to individuals.

**Do I need to print a new code when the content changes?** No. The code points to the item itself, so edits to a manual, chapter or FAQ item show up straight away. The same goes for new versions or new rounds of a checklist. If the item is deleted, the code stops working.

**Can I change the logo on the poster?** The poster uses your site's mobile header logo. Updating that logo in your branding settings changes the logo on new posters.

**What happens if someone without access scans the code?** They can't open the content. Ziik checks their access as it does for any other link.
